A guide to choosing survey software in 2026
Choose survey software by testing it on the work you actually do. It should keep working without a signal, produce a report you are prepared to sign, and leave you in control of the wording and the data. This guide sets out the questions to ask, how to test each one, and how our three apps answer them.

Start with the instruction, not the feature list
A damp and timber investigation, a home survey, a commercial dilapidations schedule, a new-build snag and a housing association damp and mould case each need different records. Look for software with a clear workflow for the instructions you take most often, plus enough flexibility to record unusual construction, limitations and findings without losing structure.
Readings and photographs should stay connected to the room or building element they support. Calculations should show their working. And every word that reaches the client should be one you chose.
Ten questions to ask before you choose survey software
Each question below opens with what to look for, then what to ask the vendor, then how our apps handle it.
1. Does it work fully offline?
Signal drops in basements, roof voids and rural properties, so check exactly which actions work without it. "Offline mode" can mean anything from read-only access to a complete survey with the report produced on site.

- Can you open a job, add rooms, take photos, run calculations and produce the PDF with no connection?
- What happens to unsynced work if the app closes or the battery dies?

2. What does the report look like, and can you edit every line?
The report is what your client pays for. Check the section order, headings, photo placement, terminology and page breaks, and make sure every narrative, rating, recommendation and cost stays editable until you sign off.

- Can you see a complete sample report, not just screenshots?
- Can you add your own logo, and does the free plan add a watermark?

3. Which standards and templates are built in?
Templates should follow the frameworks you work to, such as the RICS Home Survey Standard levels, HHSRS, BRE Digest 251 for cracking, or BS 5250 and BS EN ISO 13788 for condensation, and the vendor should say which edition each one follows. Treat claims of endorsement with care: following a standard is not the same as being accredited by the body that publishes it.

- Can you build and reuse your own wording and sections?

4. How are photos handled and marked up?
Photos are evidence. They should stay attached to the room or element they show, carry a caption, and appear in the report where the reader needs them rather than in a loose gallery at the back.

- Are captions numbered and referenced in the report text?
- Can you circle, point to or label the defect on the photo itself?

5. What does the AI do, and who is responsible for it?
AI can save typing, but the surveyor stays responsible for everything in the report. The RICS professional standard on the responsible use of AI in surveying practice has applied to RICS members and regulated firms since 9 March 2026. It covers the due diligence you do on AI tools, checking the reliability of their output, and being open with clients about their use.
Ask the vendor
- What exactly does the AI produce, and is it always an editable draft?
- What data is sent to which AI provider, and can you switch the AI off?
- How is AI use limited or billed?

6. Who owns the data, and how does the software handle UK GDPR?
Client names, addresses and photos of people's homes are personal data. Under UK GDPR you are usually the controller of your clients' data and the software company is a processor acting on your instructions (see the ICO's guidance on controllers and processors). You need to know where the data is stored, who else processes it, how long cloud copies are kept and how you export or delete it.

- Where are surveys and photos stored, and which sub-processors are involved?
- How long are cloud copies kept, and in what format can you export everything?
Our apps: in DampApp Pro and PropertySurvey Pro, survey data is stored on your device and synced to the cloud only if you subscribe to Pro. The DampApp Pro privacy policy and PropertySurvey Pro privacy policy set out that you are the data controller for client data and explain how long cloud copies are kept, so keep your own copy of finished reports. 7. How is it priced as you grow?
Headline prices hide different models: per user, per device, per report, per module or per organisation. Price a full year for the team you expect to have, including storage, report branding, integrations and any AI usage.

- Are there per-report charges, minimum terms or setup fees?

8. Which devices does it run on?
Check the phones and tablets your team already carries, whether the app is native or runs in a browser, and which features need particular hardware.
Our apps: all three run on iPhone, iPad and Android, and HousingSurvey Pro adds a web portal for the office. AR room scanning needs an iPhone or iPad with LiDAR.
9. What support will you get?
When a report is due tomorrow, support matters more than a feature list. Look for a searchable help centre, getting-started material, a clear route to a person and a record of how updates are rolled out.

10. How does team licensing work?
For a team, check how licences are assigned and moved between people, how devices are deployed and managed, whether templates can be shared, and what oversight a manager gets across everyone's work.
Our apps: DampApp Pro and PropertySurvey Pro offer business editions with an agreed device allowance and managed deployment through tools such as Apple Business and Managed Google Play (DampApp Pro for teams, PropertySurvey Pro for teams). How to run a fair trial
A single real job tells you more than any demonstration. Work through it in this order:
- Use a genuine instruction, not the vendor's sample data.
- Switch to flight mode at the property and complete the whole survey.
- Produce the report on site and read it as your client would.
- Correct and qualify everything: change a rating, rewrite an AI draft, remove a photo, add a limitation.
- Export and back up the report and the data, so you know you can leave.
- Price the year for your team, including the extras you needed on the trial.

Choosing survey software: common questions
What should I look for first in survey software?
Check that it works fully offline and produces a report you would be happy to sign. Run a genuine instruction on a trial with the device in flight mode, produce the report on site and read it as your client would. Those two tests rule out more software than any feature list.
Is free survey software good enough for professional work?
It depends on what the free plan leaves out. Can I use AI to write survey reports?

RICS's professional standard on the responsible use of AI in surveying practice has applied to RICS members and regulated firms since 9 March 2026.
