Canadian tenancy law is provincial, and several provinces prescribe a joint move-in and move-out inspection with the tenant present.

Who attended, and when, is part of the evidence

Where a joint inspection must be offered, failing to offer it can carry consequences for a later claim. Recording that the offer was made, who attended and on what date turns an administrative step into usable evidence.

The condition inspection report is itself the comparison document, so using the same element list at both ends is what makes it work. Starting the move-out from the move-in record keeps the two readable against each other.

Seasonal observations a single visit cannot capture

The heating season changes what is visible. Window condensation and interior humidity, ice damming at the eaves, and heating system operation are all seasonal, so a record built from periodic visits in sequence is more useful than one annual snapshot.

Those observations also sit close to habitability obligations under provincial law. Capturing the date a condition was first seen, and what followed it, is what answers a later complaint about how long it persisted.

Provincial rules that reshape the workflow

Notice periods, entry rights and repair obligations differ by province, as do the rules on deposits, which some provinces restrict far more tightly than others. Driving the template from the province recorded on the tenancy keeps a national portfolio consistent.

Building requirements vary too, because the National Building Code is adopted and amended provincially. A ventilation or insulation observation therefore lands against a different baseline in Ontario than in British Columbia or Quebec.

  • Use “mould” in condition descriptions, and YYYY-MM-DD for dates.
  • Scope the report against the scope permitted by any applicable provincial licensing scheme.
